The diary is based on your clinic. We create rooms and practitioners
and then we 'insert' each practitioner into a room. They are the given
diaries and specialities which determine what they do.
Each
practitioner has one or more specialities and these determine the
appointment types that they can have. The diaries in turn determine the
working hours and timeslots they can use.
This system is very flexible. As an example, you may have a
doctor who sees patients in 20 minute appointments for 2 hours in the
morning, then for the next 2 hours he sees patients in 13 minute
appointments and in the afternoon, his room is freed up for someone
else.
Emma is designed to cope with all of this. What's more,
once you have created a 'sample' week, you can then pattern this week
out over and over to save you time doing the same thing again.
Just like paper
If a doctor
decides to work late one day, you don't need to disrupt anything or
fiddle with templates, all you need to do is 'stretch' the diary using
the handy on screen arrows. These are available on every diary allowing
you to make the quick adjustments you need.
If a doctor is
running ahead of schedule, you can even 'squeeze' in patients using our
shoehorn feature. This allows you to select time between patients and
insert an extra one in there. These then appear on the stats and are
billed as normal. At one of our practices, we even have one of our
doctors who sometimes operates at over 100% efficiency because of this.
But with the benefit of a computer
Needless
to say, despite all this flexibility, we have a whole host of features
integrated in which remind you why you switched in the first place.
These include:
• Full SQL reporting on everything in the system. - arrival
times, average actual appointment lengths, efficiency and productivity
reports.
• Diagnosis and referral coding
• Email reminders and confirmations (customised on the company and insurance company the patient is from)
• SMS reminders and confirmations
• Patient direct booking based on a highly advanced ruleset based search engine (see dedicated page)
• Customised views at 5 access levels so people can only fiddle with what they're supposed to. (see dedicated page)
And more
We don't just allow appointments either, you can also host
classes. A class may have many patients in it and these can all be
billed as normal but with customised emails and reminders.
All of these are of course bookable online.
Admin
time is categorisable based on how you would like your clinic set up.
This means that those afternoons spent catching up on paperwork, doing
telephone consults and medical forms can be categorised as such and not
just as 'afternoon doing admin'. This allows you do keep better tabs on
what is actually going on in your clinic and to see if your doctors
need additional resources.
