How to book an appointment (v2.0)

Method one:
Search Engine:
To book an appointment using the search engine:

1a) Locate the patient and choose 'Book appointment (using search engine) from the tasks list.

2a) Select the appropriate Speciality
3a) Select any number of variables you require from the Appointment type, practitioner, location and sex of the practitioner and date to search from.

emma will search for the number of weeks specified from the day you specify and return a selection of appointments. These may not be all the appointments available, but the busier the practitioner is the more accurate the engine will be. If you wish to view all the appointments, select ‘View all available appointments’ before you search.

4a) Select the time you require and proceed to step 5 below.


Method two:
Direct Appointment Selection by practitioner:
To book an appointment directly you must first have chosen a patient - locate the patient using the Patient Search button at the top of the screen then click 'Book appointment' (Diary)


1b) Select the name of the practitioner from the list and click submit at the bottom. You may select more than one practitioner at once and may align them in columns using the 'columns' option towards the upper right hand corner of the page if you want
2b) Choose the day you are interested in by clicking on the date.  The red triangle next to the week may be used to view a week at once and then a day may be selected by clicking on the name of the day in blue.
3b) Select an appointment slot by clicking on the time. Be sure to pay attention to the text at the top of the diary. It may be that the practitioner you are looking at is not where you expect.
4b) Proceed to step 5


Method three:
Direct Appointment selection by location:

To book an appointment by location you must first have chosen a patient - locate the patient using the Patient Search button at the top of the screen then click 'Book appointment' (Diary)


To select an appointment in a different location,  not caring who is where.
1c) Select 'View by Location'
2c) Select the location you wish to look at.
3c) Select the date you are interested in.
4c) Scroll through the available practitioners (or align them in columns) to select the appointment you require by clicking on the time and proceed to step 5.

Method four:
Direct Appointment selection by patient:
Let the patient do it.
1d) Proceed to lunch.
1e) Upon return from lunch, the appointment the patient has chosen will be highlighted in pink.

5) Search for the patient you require using the patient search engine (you may search from all of the fields at once if required and input partial data in each)
6) Select the Patient and confirm the patient and appointment details

The default patient details are on the left hand side, whilst the appointment details are on the right hand side. In the case of a Company Patient or Insurance Company Patient, be sure to select that they should be in the correct Contract in the Appointment details. This determines what appointment types they are allowed to have.
The Insurance company or Company details should be confirmed from the list.
Once you have confirmed the patient details once (on the left), you will not have to do it again for the patient. Be sure to select who it is you want to charge - be it the patient, the insurance company or the employer. This can be changed retrospectively on a per appointment basis by clicking on the appointment type name in the diary view.

Both patient and appointment details may be modified retrospectively once the appointment or patient has been created. The system should automatically select the correct contract for the location you are booking him into. If you wish to book another appointment with that patient, click the 'Book next appointment' box and the system will remember the patient details. All you need to do is to select the time.
