How to arrive and bill a patient Scenario: Patient has been booked in and has arrived on site. 1) Confirm the patient details and click A on the diary of the appointment the patient has turned up to in order to confirm he has arrived. 2) If he goes straight through to see the practitioner, click V, otherwise click V when he does so. 3) When the patient returns, click L and then click on the patient name in the diary. This will take you to the patient details page. NOTE: You cannot bill a patient until the L button has been pressed. 4) From the Overview menu (where you are now), you can see how much the patient owes. 5) Click on the ‘Charges’ menu and add any additional charges to the bill by typing what you need in the boxes below: This could include 'Credit', 'DNA' 'ESR Test' or any other sundry items. The prices for each item are known by the system provided you choose the correct location and cost group before hitting search. 5b) Add these items to the bill. 6) Prepare the invoice by selecting the items you wish to add to the invoice from uninvoiced charges, choosing the correct issuing location and whether to bill the patient or their insurance company. 7) The system will confirm these details with you and allow you to modify any errors you may have made. Double check this as once an invoice has been issued, it cannot be retracted. 8) You will then be taken to the Invoicing page where you may accept payment. Choose the correct payment method and location. 9) Allocate the payment you have received to the invoice you created by ticking on the boxes for each and clicking allocate. You may allocate more than one payment to one invoice and excess funds will be left allocatable to other invoices. In the case where a patient doesn't pay immediately, an invoice may remain outstanding and the payment may take place anywhere. 10) Once the payment is received, you may click on RTF from the paid invoices section and give the patient a receipt. If you wish to unallocate a payment or cancel a payment you must log in as administrator. DNA charges are manually added in the charge search. To turn an appointment into a DNA, click the X button in the diary and it will be detagged as a charge allowing you to add a charge manually. Whether you add the charge is left up to you. The system will not bill anyone automatically. Information on DNAs may be reported on retrospectively as the information on the cancellation time is kept. You may even report on the average cancellation time for example. |
